This Policy applies to all users of templatevault.io and any related applications or services.

- Payment information (processed by Stripe — we do not store card numbers)
- Vehicle Identification Numbers (VINs) you submit
- Vehicle records, maintenance logs, and repair notes you upload
- Messages sent to AI Chat features
- Communications with our support team
2.2 Information Collected Automatically
- Device and browser type
- IP address and approximate location
- Pages visited and features used within the Service
- Session duration and click activity
- Referral source (how you found us)
2.3 Information from Third Parties
- Vehicle data from DIMO Network (if you connect your vehicle)
- Vehicle history data from third-party VIN data providers
- Authentication tokens from Firebase/Google if using Google Sign-In
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service
- Process payments and manage subscriptions
- Generate VIN Intelligence Reports and other AI-powered outputs
- Send transactional emails (account confirmation, password reset, billing receipts)
- Send product updates and service announcements (you may opt out)
- Respond to support requests
- Detect and prevent fraud and abuse
- Comply with legal obligations
- Analyze aggregate usage patterns to improve the Service
We do not sell your personal information to third parties.
4. How We Share Your Information
4.1 Service Providers
We share data with trusted third-party vendors who help us operate the Service:
- Square, Inc. — payment processing
- Google Firebase — authentication and database storage
- Anthropic, PBC — AI feature processing (Claude API)
- DIMO Network — vehicle telemetry (if connected)
- Google Workspace / SMTP — transactional email delivery
These vendors are contractually prohibited from using your data for purposes other than providing services to us.
4.2 Legal Requirements
We may disclose your information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
4.3 Business Transfers
In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
4.4 With Your Consent
We may share your information for any other purpose with your prior consent.
5. VIN Data and Vehicle Records
VINs submitted to the Service are used to retrieve vehicle data from third-party databases and to generate AI-powered reports. VINs are not inherently personal information, but when combined with your account they are treated as account data under this Policy.
Vehicle records you upload remain your property. We do not share your individual vehicle records with other users or third parties except as necessary to operate the Service (e.g., cloud storage infrastructure).
6. AI Features and Data Processing
When you use AI Chat, VIN Intelligence Reports, Repair Estimator, or other AI features, your input (including VIN numbers, descriptions, and questions) is transmitted to Anthropic's Claude API for processing. Anthropic processes this data in accordance with their API usage policies. We do not send personally identifiable account information to the AI API unless you include it in your message.
7. Data Retention
We retain your account data for as long as your account is active. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal, tax, or fraud prevention purposes.
AI-generated report data may be retained in anonymized, aggregate form for model improvement purposes.
8. Security
We implement industry-standard security measures including:
- Firebase Authentication with encrypted credential storage
- HTTPS/TLS encryption for all data in transit
- Square-managed PCI-compliant payment processing
- Role-based access controls for internal systems
No method of transmission over the internet is 100% secure. We cannot guarantee absolute security of your data.
9. Your Rights and Choices
9.1 Access and Correction
You may access and update your account information through your dashboard at any time.
9.2 Deletion
You may request deletion of your account and associated personal data by emailing hello@templatevault.io. We will process deletion requests within 30 days.
9.3 Marketing Opt-Out
You may opt out of marketing emails at any time using the unsubscribe link in any email or by contacting us. Transactional emails (receipts, password resets) cannot be opted out of while your account is active.
9.4 Data Portability
Upon request, we will provide a copy of your vehicle records and account data in a portable format.
10. California Residents (CCPA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act:
- The right to know what personal information we collect, use, and share
- The right to request deletion of your personal information
- The right to opt out of the sale of your personal information (we do not sell personal information)
- The right not to be discriminated against for exercising your rights
